  FTEN is looking for a Personal Assistant to apply solid administrative and communication skills to a growing, dynamic and global firm. The Personal Assistant will assist with the following tasks (tasks may include, but are not limited to the following): Efficiently and accurately schedule meetings, trips, conference calls, lunches, dinners and other appointments for management Field and screen incoming phone calls with tact, professionalism and provide detailed/concise messages in real-time Work closely with other team members on various office/administrative projects Manage vendor relations including find, compare, and negotiate with vendors Support marketing activities (printing, organizing events, mass mails, generation of templates, etc. ) Update intranet and services portal for team Manage office related and administrative projects (upgrades, HR projects, manage IT related projects with support of IT team, organizational development related projects, ….) Establish and maintain effective working relationships with external and internal contacts. Collaborate effectively - working as a  team member Assist as needed in opening, sorting, prioritizing and distributing mail to appropriate parties in a timely manner Support other administrative positions as needed, including answering phones, allowing guests into the office, ordering items, etc.  
     
     
  Required Experience: 5+ years of experience working as a PA and office manager to senior level management BA or BS in business or related degree preferred MUST have experience working in a fast paced, entrepreneurial office environment Ability to handle sensitive information with appropriate discretion Must demonstrate the ability to work independently and have flexibility in the management of tasks and schedules Greets clients and guests at the reception area and directs them to the appropriate location. Ships documents and packages domestically and internationally Past experience taking initiative and approaching projects and tasks proactively Experience and a strong understanding of facilities management Must possess strong file management, organizational and oversight skills – both paper and electronic systems High degree of proficiency in and knowledge of MS Outlook, Word, Excel and PowerPoint. Reasonable technical skills to support in different administrative projects Exceptional written, oral and presentation skills. Must be a team player Experience “wearing multiple hats” and/or working at a small company/firm a plus
